Lean Office

Simple is best.  Generic functions such as ordering, budget approval, information routing, tracking and fundamental project cost control can be managed efficiently and quickly.

We have installed these and other systems in multiple offices across Europe with significant improvement in cost control.  Intuitive, normally without additional software investment required we can modify code that we have already developed to suit your requirement.  Your process can be streamlined, we have a series of good case studies that show that considerable lead time reduction and process improvement can be expected.

Examples

ExamplesCase 1.  Order System

Order information is collected using a Word® document, key data is filtered and options are automatically populated using dropdown boxes to ensure correct allocations are made.  Preferred supplier, product codes, cost centres, approving managers can be automatically selected or allocated based on the user's choices.  Once complete the order is registered, serialised and sent on an electronic approval route using Microsoft® Outlook®. When approval is complete the order is automatically sent to an administrator or Purchasing department with budget written down and locked to ensure spend does not go over predetermined levels.

Asset lists, outstanding orders, approval path updates, budget status are all available in Excel®, but the major improvement experienced on introduction was an improvement in lead-time, information accuracy and significant reduction in resource necessary per order.  This model can be applied to any similar process that requires decisions by people that are sited at different locations.

ExamplesCase 2.  Monthly reporting

It is good to be able to review progress on a monthly basis to ensure the business continues as planned.  Gathering information and compiling reports should be automated if data is already being held on a computer.  Macros can be designed to reduce reporting lead time and release staff for more value added functions.  Excel can collect data and even manipulate Powerpoint to build presentations in minutes rather than hours of laborious copying and pasting ...

Time for monthly reporting before : 5~8 days.  Time after 5 mins.
